SkyRoster Training Video 2: Request Settings

Welcome to a new SkyRoster training video! Today we’ll learn how to define and parameterize different types of requests that staff in the organization can make. The SkyRoster Leave Management module supports two request types: duty and leave requests. Let’s take a closer look at them!

Duty types

Duty time is the time you spend working for your organization, in addition to your normal working hours. As an Admin, you can define any number of duty request types, like training or overtime. Let’s create a new duty request type called “Mission”. To do this, you need to fill in the following fields: the Name of the duty type, the “Allowance rate per hour”, and the Code and colour to be used when displaying this request type in the generated rosters and in the users’ calendars.

The “Allowance rate per hour” is the coefficient used at computing the number of allowance hours granted to the employee, for each hour worked in this duty request. For example, if we set this at 1.5, then for each 1 hour spent on mission, the employee is credited 1 hour and 30 minutes as an extra allowance, in addition to his annual vacation days.

You can also configure if this type of request requires approval from an administrator or if it’s automatically approved after being sent. Most of the times, this will be enabled.

If you want to temporarily disable this type of duty request, meaning no such request can be sent, use the “Disable the request” checkbox.

After saving the request type, the “Constraints” tab will become visible. Here, you can limit the number of hours of this duty type requested by an employee: per week, month and year. You can also limit the number of consecutive days and length for each request by filling in this field. Or you can set them as unlimited. Ok, all set here!

Leave types

Let’s move on to the Leave request types. In this part of the application, you can define any number of planned or unplanned leave types, like annual leave, maternity leave or sick leave.

You need to fill in the following fields to create a new Leave request type: name, roster code, the display colour and configure if this request has to be approved or not.

Furthermore, we have two new checkboxes here. You will check the first one, “It is unplanned”, only if this leave request type is a type of unplanned leave, like an emergency or a sick leave. Unplanned leaves are a special case of leaves. Each approved unplanned leave will automatically change the published roster and will require the attention of a planning manager to cover the shift of the missing employee. We’ll learn how to do this in a subsequent training video.

The second one, “deducted from allowance”, will instruct the system to subtract leave days from the annual vacation days of the employee, set in his digital contract. If the employee has no vacation days left, then the leave request will be automatically rejected by the system. If “Deducted from allowance” is not checked, then the constraint “Maximum number of hours per year” will take priority in limiting the number of leave days for an employee.

After filling in the values for all parameters, let’s save the leave type and now update the Constraints, as well. If no constraints settings are made, the default will be unlimited. Similar to the duty types, you can set the maximum hours per week, month and year and the maximum consecutive days per request. These settings are very important in the Leave Management module, which will be able to track and limit the requested days for each employee, based on these pre-configured values.

All duty and leave request types can be edited later on or deleted if needed.
